Built with AI: this product, including this document, was written with the help of Anthropic's Claude under human direction and review. Customer data reaches an AI in one place only: every PDF you upload under Documents or have mailed in, and every mailed-in invoice without a PDF, is read by Anthropic's Claude (Privacy Policy §3-4). Bank statements are read on our own server, by no AI.
1. Operator
The service designated AccountingDash is operated by the company We make AI work s.r.o., identification number (IČO) 29697115, with its registered office at Nové sady 988/2, Staré Brno, 602 00 Brno, incorporated and registered in the Commercial Register maintained by the Regional Court in Brno under file number C 152497 (hereinafter the "Operator"). The designation "AccountingDash" constitutes a commercial designation of the Operator's product; any and all contractual relationships arising hereunder are concluded exclusively with We make AI work s.r.o. Contact for service of notices: support@accountingdash.eu.
2. Scope of application
These Terms and Conditions (the "Terms") govern the legal relationship between the Operator and any person using the service AccountingDash accessible at accountingdash.eu (the "User"). By establishing a user account, effecting a purchase, or otherwise using the service, the User expresses unconditional assent to these Terms.
3. Specification of the service — what AccountingDash is
The service designated AccountingDash constitutes the bookkeeping module of the BusinessDash suite, accessible at accountingdash.eu. It provides the authentication of members of organisations holding AccountingDash and the keeping of each organisation's company records (the companies whose books are kept, their identifiers, addresses, bank accounts - the account numbers stored in encrypted form - and invoice defaults, and the designated recipient of periodic statements), and the recording of transactions entered by the organisation (date, counterparty, category, amount, value added tax), converted at the daily exchange rate fixed by the Czech National Bank, together with the organisation's register of customers (customers' email addresses stored in encrypted form) and catalogue of products and services, which may be exported and imported as a delimited text file; and the recording of invoices and corrective tax documents issued by the organisation's companies, each sequentially numbered and bearing the particulars of the customer and of the issuing company as at issue, each of which, together with a financial statement of a company for a chosen period, may be downloaded as a portable document generated upon request and not retained; the issue, on a monthly, quarterly or yearly schedule set by the organisation, of draft invoices to a customer recorded in its register, no such draft being transmitted or entered in the books save by the act of a member or, where the organisation has so directed for a schedule, upon issue, in which case the invoice is entered in the books and transmitted by electronic mail to the customer's address, replies being directed to the contact address of the issuing company; any other invoice entered in the books may be so transmitted at the request of an owner or administrator. No more than twenty invoices shall be so transmitted for any one organisation within any period of twenty-four hours; an invoice in excess thereof shall not be transmitted and, where issued under a schedule, shall remain a draft. The service further records the value added tax returns, control statements and One-Stop-Shop returns which the organisation declares as filed, and identifies entries of a period so declared which were altered after that record; presents the value added tax charged by suppliers established in other States, together with the refund deadline under Directive 2008/9/EC; upon the close of each period on the cadence set by the organisation, transmits the financial statement by electronic mail to the accountant designated by it, replies being directed to the contact address of the organisation's company; and verifies with the VAT Information Exchange System (VIES) of the European Commission the validity of the value added tax identification numbers of the organisation's customers weekly and of its own companies daily, indicating any change. The service further presents, for each company, its figures for a year, per month and by category of expense, its cash flow with a projection derived from entries designated as recurring, and its value added tax position per period; a list of suppliers derived from the entries, with costs inferred to recur, any date of renewal being an expectation derived from the documents and not a contractual date; the conversion of listed entries into a single currency; an indication of entries sharing a document number and amount as possible duplicates; and the subsequent conversion of entries recorded without an exchange rate. The service further enables the upload of documents in PDF format, which are stored in encrypted form and each of which is read by Claude, an artificial-intelligence model provided by Anthropic, PBC; the result of such reading is recorded solely as an entry awaiting decision and is not taken into account until an owner or administrator of the organisation has confirmed it. The service further enables the organisation to receive documents by electronic mail at an address assigned to it on the domain inbox.accountingdash.eu, created by an owner or administrator, solely from senders whom an owner or administrator has designated by exact address or by domain; mail from any other sender is not accepted. Each document in PDF format attached to such mail is processed, and counted for the purposes of a trial period, as an uploaded document; mail without such an attachment is itself stored in encrypted form and read as the document. Mail received while the organisation holds no entitlement to the service, after its trial period has ended or before it has recorded a company is held for up to 60 days and thereafter refused. Where the organisation connects to a company its own account with Mollie B.V. by means of an organisation access token issued by Mollie, which is verified with Mollie before it is stored and is stored in encrypted form, the service enters daily each settlement paid out by Mollie, the revenue at its gross amount and Mollie's fees as an expense, each entry awaiting confirmation by a member; upon disconnection the token is erased and the entries already made remain. Where an owner or administrator uploads a statement of account in PDF format as produced by the organisation's bank, the service records each movement shown on it for the company holding the account, provided that the movements read correspond exactly to the totals stated on the statement, failing which nothing is recorded; the statement is read on the provider's own server from its layout, without the use of artificial intelligence and without disclosure to any third party, and is not retained, the counter-account numbers being stored in encrypted form. An incoming payment whose variable symbol and amount correspond to an invoice issued and sent through the service marks that invoice as paid as of the date of its booking by the bank. At present the service reads statements issued by Raiffeisenbank a.s. in the Czech language. An owner or administrator may further define, for a supplier or customer, a rule determining the category, the company, the rate of value added tax or the currency of the entries recorded from its documents, or that such entries are not recurring; the rule is applied whenever such a document is read, and an entry whose rate of value added tax or currency the rule alters awaits confirmation by an owner or administrator. Each function shall be incorporated into these Terms and the Privacy Policy in the release introducing it. Authentication is effected through BusinessDash (businessdash.eu), which is governed by its own terms; the service thereafter maintains its own session and periodically verifies with BusinessDash the continued validity of the sign-in and the organisation's continued entitlement. Should BusinessDash be unreachable, the last verified state shall be relied upon for twenty-four hours, after which access shall be refused until verification succeeds. Authorisation within the service is determined by the service alone: the owners and administrators of an organisation may create and amend its company records and settings, and its other members may view them. An organisation registering through BusinessDash may use the service free of charge for a trial period of fourteen (14) days, limited to thirty (30) uploaded documents in total, without providing payment details; upon expiry of either limit the uploading of documents ceases until a plan has been paid, all other functions and the data entered remaining available. The service is provided for remuneration as prepaid plans offered on accountingdash.eu and paid through Mollie (clause 4); the plan, its price, VAT status, duration and renewal are presented there before any payment, and no payment is taken within this application. Records kept for an organisation belong to that organisation; upon erasure of a natural person from the suite, that person's record in the service is deleted, and audit entries retain an anonymous identifier no longer attributable to any person. For an organisation designated as a holding, the service presents the figures of each company of its group and of the group in aggregate in a single currency, each amount converted at the rate fixed by the Czech National Bank for the date of its document, and presents as eliminated from the aggregate, without deletion, any entry between two companies of the group identified as such solely by the counterparty's VAT or registration number stated on the document; the figures of each company, including its value added tax, remain unaltered. An owner of an organisation may at any time obtain all data kept for the organisation as a single file, and an administrator likewise upon the approval of the request by an owner, once and within twenty-four (24) hours of such approval, an undecided request lapsing after seven (7) days, in each case subject to verification with BusinessDash of the organisation's continued entitlement; each request, decision and export is recorded in the organisation's audit trail and no copy is retained by the Operator. A User may close the account from within the service, the closure being confirmed and effected through BusinessDash; the User's record in the service is thereupon deleted, whereas the records of the organisation, including invoices issued, which the organisation is obliged by law to retain, remain with the organisation. Upon the deletion of an organisation through BusinessDash taking effect, the service deletes all data kept for the organisation, including the tax documents issued by it, and the Operator retains no copy; the retention of the organisation's tax and accounting records for the period prescribed by law is the obligation of the organisation, which may obtain its data beforehand. The organisation's audit trail is retained without the content of its entries.
4. Remuneration and payment terms
Prices are communicated at the point of purchase in the currency displayed. Payment services are rendered by Mollie B.V.; the Operator does not store payment card data. The Operator is not registered for value added tax. Modifications of pricing shall in no case affect periods already paid for and shall be announced by way of an amendment to these Terms pursuant to Article 9.
5. Digital content; right of withdrawal
In respect of one-off digital content delivered forthwith upon purchase, the User, by completing the purchase, grants express consent to immediate performance and acknowledges that such consent entails the extinction of the right to withdraw from the contract within fourteen days, pursuant to Section 1837(l) of Act No. 89/2012 Coll., Civil Code, and Article 16(m) of Directive 2011/83/EU. Subscriptions may be terminated by the User at any time with effect as of the expiration of the period paid for.
6. Prohibited conduct
The User shall refrain from: dissemination of unlawful content; interference with the integrity, availability or security of the service; automated extraction of data; resale of the service; and circumvention of access or payment mechanisms. In the event of material breach, the Operator is entitled to suspend the User's account, having first issued a warning where practicable.
7. Liability
The Operator renders the service with due professional care. To the maximum extent permissible under applicable law, the Operator shall not be liable for indirect or consequential damage, nor for interruptions attributable to circumstances beyond its control; the aggregate liability of the Operator is limited to the sums paid by the User for the service in the twelve months preceding the event giving rise to the claim. Statutory liability which cannot be contractually limited, including under Section 2898 of the Civil Code, remains unaffected.
8. Protection of personal data
The processing of personal data is governed by the Privacy Policy published at https://accountingdash.eu/privacy, which forms an integral informational annex hereto.
9. Amendments
The Operator reserves the right to amend these Terms in the event of changes to the service, its pricing, or applicable legislation. The version currently in force, including its number and effective date, is published at https://accountingdash.eu/terms. Material amendments affecting a subsisting subscription shall be notified in advance; the User is entitled to terminate prior to their entry into effect.
10. Governing law and dispute resolution
These Terms are governed by the law of the Czech Republic. The courts of the Czech Republic have jurisdiction, without prejudice to mandatory consumer-protection provisions of the state of the User's habitual residence (Article 6 of Regulation (EC) No 593/2008). Consumers are entitled to out-of-court dispute resolution before the Czech Trade Inspection Authority (https://adr.coi.cz) or via the European ODR platform (https://ec.europa.eu/consumers/odr).
